Vehicle Checks and Defect Reporting

Having an effect method for managing vehicles check and defect reporting should be one of the most important parts of your fleet management and maintenance plan. Having a big emphasis of vehicle and walkaround checks can help to prevent accidents. They are also a good way to make sure your drivers know what to look out for.

Research found that over 50% of HGV drivers don’t carry out regular vehicle checks. 40% don’t carry out any at all. It is estimated that 85% of road accidents could be avoided if drivers carried out a check before the start of their journey.

Carrying out daily checks are a legal requirement and are helpful when it comes to demonstrating compliance to the VOSA.

Along with being a legal requirement, they are also extremely helpful when it comes to spotting defects and required maintenance.

Daily Vehicle Safety Checks

Inspections should take place before the start of the journey. If your vehicle is used by multiple drivers each day, then each driver should carry out their own check.

The checklist includes; tyre condition, brakes, indicators, hazard lights and steering. Checks are required to cover both the inside and outside of a vehicle.

All checks must be recorded and if any defects are recorded, then maintenance must be carried out before that vehicle starts its journey.

Reporting Defects

Any defects that are recorded during the vehicle check must be reported. It is advisable to take photographic evidence of any defects. If a driver spots a defect during their journey then that also must be reported.

What if a driver spots a defect on their journey?

If one of your drivers happens to spot a defect during their journey then should pull over to a safe space. Any defects that are deemed dangerous or sever must be fixed before continuing with the journey. During a roadside check the DVSA can ask for a record of your vehicle check. If you are driving a HGV that is deemed dangerous you can receive an unlimited fine and a prison sentence.
